Portal User Questions

I have a code; what do I do with it?

If you already have an Arbinger Portal account, you should:

  1. Log into the Arbinger Portal.

  2. Click the “+” button at the top of the left menu (next to the “Course Materials” title.)

  3. Enter the Course License Code.

  4. Click the Submit button.

  5. The Course materials have been added to your Arbinger Portal.

If you do not have an Arbinger Portal account, you should:

  1. Go to arbinger.com/register.

  2. Enter your work email address.

  3. Enter the Course License Code.

  4. Follow and complete the registration process.

  5. Once completed, you now have access to the Arbinger Portal and the Course materials.

When should a participant register for a course with the “+” button/link?

Participants who have:

  • An existing Arbinger Portal account AND 

  • Been supplied a Course License Code 

should use the “+” button, which will register for the Course and add the Course to their Course Materials section.

How do I add an alternate email?

In the portal, on the top right, 

  1. Click on the user profile.

  2. Navigate to User Tools

From there, you can add an alternate email. Alternate emails can be used to sign into the portal and receive all email notifications that would go to your primary email.

How do I get to the Arbinger Portal login page?
How do I register for the Arbinger Portal?

This depends on the type of Course you are attending and the workbook you will be using. Consider the situations below and use the corresponding steps.

I have received an email invitation to a Course.

  1. Open the email.

  2. Click on the “Accept” button. *

  3. Follow the instructions to register for the Arbinger Portal and the Course.

* If the Accept button does not work, you can copy and paste the URL and temporary password from the email to register for the Course.

I am attending a Course and have a physical workbook.

  1. Locate the Course License Code on the back cover of the workbook.

  2. Go to arbinger.com/register.

  3. Enter your work email address.

  4. Enter the Course License Code.

  5. Follow and complete the registration process.

I am not attending a Course but want to create an Arbinger Portal account.

  1. Go to https://portal.arbinger.com.

  2. On the Portal login page, click the “Don’t have an account? Register” link at the bottom of the page.

  3. Enter your work email address.

  4. Enter a password.

  5. Follow and complete the registration process. 

Administrator/Facilitator Questions

Where do I find course license codes?

Courses will have specific steps to find license codes. Check the Course title below for the corresponding instruction:

Developing and Implementing an Outward Mindset, Outward Inclusion, and Outward Leadership:

  • When the Course uses a digital workbook: Participants will receive an invitation to access these Courses from their administrator. No code is needed. 

  • When the Course uses a printed workbook: Participants will find their code on the last page of the workbook.

Developing and Implementing an Outward Mindset Classic, Outward Mindset in Public Safety, and Outward Mindset in Education: 

  • Course participants: Should receive their code from the facilitator during the Course. 

  • Administrators: Find registration codes in the Administrator Dashboard of the Arbinger portal.

Developing and Implementing an Outward Mindset Leadership Edition (LE)

  • When the Course uses a digital workbook: Participants will receive an invitation to access these Courses from their administrator. No code is needed. 

  • When the Course uses a printed workbook: Participants will find their code on the last page of the workbook. This grants access to all resources included with the Outward Leadership bundle.

Outward Performance: 

  • When using a digital workbook Course: Participants will receive an invitation to access these Courses from their administrator. No code is needed. 

  • When using a printed workbook Course: you will find a link allowing you to download the Course tools. 

For Outward Mindset Online: 

  • For Outward Mindset Online bundled with Developing and Implementing an Outward Mindset and Developing and Implementing an Outward Mindset Classic: Participants are automatically granted access to the Course with the Developing and Implementing an Outward Mindset materials.

  • For stand-alone purchases of Outward Mindset Online: Participants will receive a code from their administrator.

How do I invite participants to an Outward Leadership Course?

Once your Outward Leadership course has been scheduled by the success team, the Organizations Client Admin can use the “Add Participant” tool in their Course Scheduler. 

NOTE: After the 1st day of the Outward Leadership course, the licenses will be locked, and new participant invites can no longer be sent.

How do administrators assign licenses or codes for Outward Mindset Online?

Standalone licenses for Outward Mindset Online become available for distribution after your organization purchases the course licenses.  Follow these instructions to assign licenses to your users: 

  1. In the Arbinger Portal, select “Administrator Dashboard” on the menu bar.

  2. Select “License” on the left side under Admin Tools.

  3. Find the Outward Mindset Online course and click on the “Manage” button. 

  4. Select “Add Participant” to assign a license to one or more user

If you have purchased Classic licenses for Developing and Implementing and Outward Mindset course, it includes a code for that same number of Outward Mindset Online licenses that you can distribute to your users.  Follow these instructions to distribute your code to your users: 

  1. In the Arbinger Portal, select “Administrator Dashboard” on the menu bar.

  2. Select License on the left side under “Admin Tools”.

  3. Locate your “Developing and Implementing an Outward Mindset (Classic)” course.

    1. Under “Primary Registration Code” is the Outward Mindset Online Code

  4. Click on “Copy Code”

Deliver this code to the individuals who will log into their portal account and claim the code.

How does an Administrator or Facilitator receive a Course license code?
Administrators and Facilitators will receive a notification email once the Course license codes have been added to their portal accounts.
How does an Administrator access the Administrator Dashboard?

Once logged into the portal, click on the Administrator Dashboard link at the top of the page. 

If you don’t see the Administrator Dashboard at the top of the page, double-check that you have logged in with the email account that was granted administrator privileges.

Can participants accept/decline a Course Invitation before registering their account?

Yes, participants can accept/decline an emailed Course Invitation before (or without) completing the registration process.

When participants receive an email invitation from Arbinger, they are presented with a choice to accept or decline the invitation. If they choose to decline, they will not be registered.

How does a facilitator share the Course License Code during a workshop?

Helping participants find and use their Course License Code can vary depending on the course and the delivery method.

  • Digital Workbooks: If you are facilitating any workshops using the digital workbooks, you do not need to share or distribute a Course License Code. 

    • All participants will register for the Arbinger Portal and receive access to Course Materials as part of the registration process.

  • DIOM Classic: If you are facilitating a Developing and Implementing an Outward Mindset (Classic) workshop, you can either:

    1. Write the Course License Code on a flipchart.

    2. Edit the Arbinger Portal registration slide and add the Course License Code to the slide. 

  • Physical Workbooks: If you are facilitating a Developing and Implementing an Outward Mindset workshop with physical workbooks, you can direct participants to find the Course License Code that is printed on the back cover of their workbooks.

How do Administrators assign licenses for Outward Inclusion, Outward Performance, and Developing and Implementing an Outward Mindset?

Outward Inclusion: Licenses are assigned through the Licenses tool in the Administrator Dashboard. Select “Add participants” to assign seats. 

Outward Performance: Licenses or Codes are assigned through the Licenses tool in the Administrator Dashboard. 

  1. Click on the Manage button next to the License name

  2. Click on the Add Participant button

  3. Add the Email, First Name, and Last Name of the participant

    1. If you need to add multiple participants you can either use the Add Rows button, or follow the Bulk Upload instructions at the bottom

  4. Click on the Invite Participants button

DIOM: Codes or Seats are assigned through the Licenses tool in the Administrator Dashboard. Select “Add participants” to assign seats.

Can I reassign licenses from one person to another?
If a participant has not accessed the Course Materials, or consumed their license, then their Course License can be reassigned (to another participant) or added back to the Available Licenses section.
When is a Course License Code used or consumed?
A Course License Code is consumed once a participant accesses or clicks into the corresponding Course in the Course Materials section.
When can an assigned seat no longer be reassigned to another participant?
When a participant has consumed a seat, it can no longer be reassigned to another participant.
How does an Administrator reassign a participant’s Course License to another participant?

Administrators should follow these instructions to revoke a license for participants, then add other participants to use the freed licenses.

  1. In the Portal, select Admin Tools in the top bar

  2. Select the Course Scheduler tool on the sidebar

  3. Select the corresponding course 

  4. Find the participant you want to remove

  5. Check the box next to their name

    1. At the top of the table, a little red message shows the number of participants selected

  6. Click on the actions arrow next to the red message

  7. Choose Revoke Invitation

    1. This will free a license for use

  8. The Administrator can now use the Add Participant function to assign the license

NOTE: These steps work only if the original participant has not clicked into the corresponding Course in the Course Materials section. This applies to all digital Courses except Outward Leadership

Why is it essential to “Schedule a Course” for Developing and Implementing an Outward Mindset, Outward Inclusion, or Outward Performance?

Scheduling a Course is how Course participants receive access to the Course Materials (including the digital workbook). Additionally, scheduling a Course:

  • Allows the participant to accept or decline the invitation

  • Helps Administrators view Course participants, their participation status, and completion status

  • Allows Administrators to update the date/time/location of the event

  • Creates the ability for Administrators to update and notify participants of Course changes

  • Allows Administrators to set when a participant can access their Course materials

When should I schedule my Course?

We recommend you schedule a Course  at least one week before its start

NOTE: To schedule a Course, you must have the correct number of available licenses.

Does scheduling a Course create a corresponding event on the participant’s calendar?

A Calendar event is not created when scheduling a Course.

The Administrator or Facilitator will need to reserve/block the date and time(s) for the Course by sending a separate calendar invite to each participant using your internal email/calendar system.

What Course Licenses can be shown on the Licenses tool in the Administrator Dashboard?

The following Course Licenses will show on the License tool, for the Courses that have been purchased:

  • Outward Leadership

  • Developing and Implementing an Outward Mindset

  • Developing and Implementing an Outward Mindset Classic

  • Outward Mindset Online

  • Outward Inclusion

  • Outward Mindset Online Discussion Leader

  • Outward Performance 

What happens if all the Course licenses for a Course have been registered (10/10)?

If all Course licenses have been registered, no more participants can be added to that license.

If you need to add more participants, you should purchase additional licenses by contacting your Client Success Manager.

What does the license status mean?
  • Invited – Indicates a participant has been invited via email to a Course. 

  • Accepted – Indicates a participant has completed the registration process for a Course. 

  • In Progress – Indicates a participant has accessed the Course and has not completed it. 

  • Completed – Indicates a participant has completed a Course. 

  • Declined – Indicates a participant has declined the invitation to take a Course.

How is Module Completion Status calculated?

Outward Mindset Online completion is calculated based on the number of completed videos viewed by a participant.

Currently, Module Completion Status is only calculated from Outward Mindset Online.

When does a Course change to Completed status?

A Course is changed to Completed status once a participant submits the Course Evaluation in the digital workbook. 

After submitting the Course Evaluation, the participant can also print their Course completion certificate.

How can an Admin print physical copies of all participants’ workbooks, in preparation for an in-person course?

Client Admins can use the Course Scheduler tool to create a pdf which will be used to print off physical copies of the selected participants’ workbooks. This process creates one pdf with individually watermarked copies of each participant’s workbook. When the document is printed, you must separate each user’s workbook using the watermarked name on the bottom of each page.

NOTE:

  • Creating the PDF will force the participant’s License to be consumed, meaning that that license cannot be revoked.

Steps to print off participants workbooks:

  1. Log into portal.arbinger.com and select the Administrator Dashboard at the top of the screen

  2. Click on Course Scheduler in the Admin Tools menu on the left-hand side of the screen

  3. Find the corresponding Course that you will need printed workbooks and click on the Details button on the right-hand side.

    1. This will display a list of all invited users.

  4. Select each participant whose workbook you want to print by clicking on the white checkboxes on the left side of each user.

  5. Click on the Action menu on the top-left corner of the participant list, and select Print Workbook(s)

    1. This creates a pdf holding all users manuals.

  6. Send the PDF to the printer, and once printed, separate each manual using the watermark with their name at the bottom of the pages.
